In Reservation, the users can reserve or rent the public properties online. It helps your organization use the properties more efficiently as the users can check the use the properties in real-time.
The properties can be reserved or rented depending on the nature. The meeting rooms, vehicles are reserved for a specific period while the books, notebook PCs and other items that the users can carry out can be rented
This function is not standard with basic license agreement. It is enabled only after service license (social) is purchased and registered
The reservation screen is organized as shown below
1Reservation home button–The button is fixed the upper left corner of the screen and enables the users to move to the reservation home page from any screen.
2Property list–It displays the registered property list. Click a property to check the detailed information of the property.
3Reservation Status by Time Frame - The status of reservation for a day by asset can be checked at a glance. If you have reserved a conference room that is shared with other sites, it is displayed in a different color.
4Property list–The property list in the left sidebar is displayed uniformly, and the summary data (quantity, operator, etc.) of the property are displayed at the same time.
5If the system has been configured as a multi-company system by the admin., assets shared with other sites can be checked.
8.1My Reservation/Rent Status
When you move to the Reservation menu, following information is displayed on the main screen
Information of the property you rented or reserved
You can check the status of the property you reserved or rented. Click Cancel or Return to cancel the property reservation or return the rented asset when the schedule is changed.
Summary of each property (quantity, operator and Reserve/Rent button)
You can check the quantity in inventory and the operator of the property. Click the name of an operator to display the profile of the operator.
8.2Reserving/Renting Property
You can reserve or rent the property you need to use
The reservation/rent setting of a property is specified by the site administrator.
Reserving Property
A property can be reserved in the following way.
Click a property to server in the left sidebar.
Click Reserve in the property list. Click a date and time to move to the reservation details screen.
Click the date move button () at the top of the screen to move to the previous or next week.
Click the calendar icon ( ) to move to a specific date.
Click an empty space on a specific date in the reservation details screen to move to the reservation screen.
You cannot reserve a property for a past date or time.
You can make a reservation anonymously if “Anonymous” has been set by the admin. According to the settings, all reservations are made anonymously or a person making a reservation can choose to register the reservation anonymously.
Click OK when the reservation is completed.
The property operator can change the subscriber
Renting Property
A property can be rented in the following way:
Click a property to server in the left sidebar.
Click Rent at the right edge of the property to rent from the property list.
The rent status is displayed as follows:
Available– Property that can be rented
Not available – Property rented by another user
Returned – Property returned by the user
Today’s date and current time are displayed as the date/time of rent, and your name is displayed as the borrower.
Click OK.
The property operator can change the borrower
The property rent statuses can be filtered for checking. You can click the drop box at the upper right corner of the property list and select one of All, Available, Not Available and Returned for filtering
8.3Canceling Property Reservation
You can cancel the property reservation for the reason of schedule change or location change. Canceling of property reservation is described as follows
The operator of a property has the privilege to check the reservation status of the property and to cancel the reservation.
Canceling from My Reservation/Rent Status
When you move to the Reservation menu, the status of properties you reserved or rented is displayed in the main screen. Click Cancel to cancel the property reservation.
Canceling from Reservation Details Screen
If there are too many reservations/rents to be all checked in the My Reservation/Rent Status, you can cancel the reservation from the property reservation details screen.
Canceling from the reservation details screen is described as follows:
Click a property to reserve in the left sidebar.
Click Reserve in the property list. The screen moves to the date to cancel the reservation.
Click a reservation to cancel in the calendar. Click Reservation cancelation in the reservation details screen.
8.4Returning Asset
This section describes returning of the rented asset. If you do not return a rented property, other users cannot use it since its status is set to Unavailable. You can return the asset in the following way:
The operator of a property has the privilege to check the rent status of the property and to return the property. If a user returned the property but not changed the status of the property, the operator can change it
Canceling from My Reservation/Rent Status
When you move to the Reservation/Rent menu, the status of properties you reserved or rented is displayed in the main screen. Click Return to return the property you rented.
Canceling from Property List
If there are too many reservations/rents to be all checked in the My Reservation/Rent Status, you can return the property from the property list
Click a property to reserve in the left sidebar.
Click Return at the right edge of the property in the property list.
Click Return in the rent details screen.
8.5Property Search
The properties can be searched by the name of the property. It is useful for the properties such as books which are registered in large volume.
Click the property to search in the left sidebar.
Enter the search word in the search window at the bottom of the screen.
Click the Search icon ( ).
8.6Property Setting
An operator or a property can create the statement using the property or add, edit and delete the property. The operator is marked with the Management icon ( ) next to the property name. The operator can manage the property by clicking the Management icon ( ).
The operator of a property is designated by the site administrator. If you need the privilege to operate a property, contact the site administrator
Usage Guidance
The usage guidance is the statement displayed when a user clicks a property in the left sidebar of the Reservation/Rent menu. It contains the things that the user that intends to rent or reserve the property must keep in mind or the nature of the property
The usage guidance of a property can be created in the following way:
Click the Management icon () ) of the property in the left sidebar.
Write the Usage guidance.
There is no character limitation in Usage guidance.
If there is too much information needed for the usage of the property or there is an image, you can upload a file.
-To upload a file, click File attachment. Click the file to upload from your PC and click Open.
-There is no limitation in number of files and total capacity to attach.
Click OK when the guidance is created.
Property Information Management
The Property information management manages the information that must be input when a property is added. For example, the meeting room size (area, number of seats, etc.), location (floor, building name, etc.), and properties inside the meeting room (conference phone, beam projector, etc.) can be input when a property like a meeting room is added,
The property information is managed in the following way:
Click the Management icon ( ) of the property in the left sidebar.
Click the Property information management tab.
The code and item name are input by the system and cannot be edited or deleted.
Since the item name (ex.: Meeting room A, Projector 1) is the name of the property, the Displayed to users is checked and cannot be changed.
To add the property information, click Add at the lower left corner of the list. The input window is displayed.
Enter the Field name in the input window and select Displayed to users. There is no limitation in field length.
Click OK when the addition is completed
Property Management
The properties can be added, edited, deleted or changed of order
The property type (meeting room, vehicle, book, etc.) displayed in the left sidebar is designated by the site administrator. If a property type is added, contact the site administrator
Adding Asset
A property can be added in the following way
Click the Management icon () of the property in the left sidebar.
Click the Property management tab.
Click Property addition at the bottom or top of the list. The Add property screen is displayed.
Enter each item.
Only the alphabets and numbers are allowed in the Code.
The items in the Add property screen are the fields in the Property information management.
Click OK when the inputs are completed..

Modifying Property
The property information is edited.
Click the Management icon () of the property in the left sidebar.
Click the Property management tab.
Click the Settings icon () at the right edge of the property to change.
Edit each item and click OK
Deleting Property
A registered property is deleted when the property is no longer usable or is disposed.
It should be noted that the reservation and rent data are also deleted when a property is deleted
Click the Management icon () of the property in the left sidebar.
Click the Property management tab.
Click the Settings icon () at the right edge of the property to change.
Click Delete.
Changing Order of Properties
The order of properties displayed can be changed.
Click the Management icon () of the property in the left sidebar.
Click the Property management tab.
Click Order change at the top of the property list.
Change the order of the properties using drag & drop.
Click Complete order change.
Usage Information
This function specifies the information that must be input when a user reserves a property. For example, the items such as the destination when reserving a vehicle and purpose of meeting when reserving a meeting room can be added.
Click the Management icon () of the property in the left sidebar.
Click the Usage information tab.
Enter the input item of up to 20 characters for the user to input in the input window and click Add.
Click OK when the addition is completed..
Click the item name to edit the added usage information.
Click the Trash bin icon () of the item to delete to delete the usage information..
