Attendance management becomes more convenient with DaouOffice.

In line with the introduction of the 52-hour work week system, the maximum working hours per week have been changed from 68 to 52 hours.
An employer who violates this regulation will be punished by imprisonment for up to two years or a fine of up to KRW 20 million.
This system has been implemented for over one year, since July of last year, in business establishments with at least 300 employees.
From next year, it will also be implemented in business establishments with 50 employees or more. Here is some information you should check out to prepare for the 52-hour work week system.

In response to the 52-hour work week system, numerous businesses are adopting the “flexible workplace system.”
According to the Labor Standards Act, the flexible workplace system is implemented in various forms, such as flexible work hours system, discretionary work hours system, and compensatory leave system.
To introduce the flexible workplace system, a system to check and manage employee working hours is essential.
DaouOffice provides an attendance management function in response to the flexible workplace system.

17.1Managing Arrivals/Leaves

Managing My Arrivals/Leaves

If an agreement has been reached between the workers and management, all that is left for you to do is to check the employees’ work start and finish time.


Handwritten attendance reports are not accepted. Only time and attendance records by mechanical and electronic equipment are accepted.

Registering Arrivals/Leaves

Start/Finish buttons are not displayed!

What is your working status?

Time and attendance management provides basic status of going to work, leaving work, working, and ending work.
You can also add status, such as outing, meeting, going out, or private.
When adding, you can set the status to include in working hours such as outing and meeting, and not include in working hours such as personal business or going out.

With the revision of the Labor Standards Act in 2018, the time and attendance management function was changed to provide a 52-hour work week.

The previous method cannot calculate the weekday work / extension work time.

Since you are using a new time and attendance service, not an upgrade of the old e-HR function,

If you have used the existing time and attendance management function of e-HR, please refer to it.

The hours of work status are not included in the total working hours!

It has been arranged for the status values used in the previous attendance management system to be used in the new attendance management system.

If you find that the hours of work status are not included in the total working hours, this is because it has been set to not include the previously used status values in your working hours.

Attendance manager must change the setting to Attendance Type Management > Settings > Include in Working Hours on the admin. page.

Registering Status

From the side menu under e-HR, users can register a leave status such as business trip, education, vacation, etc., based on the date and time.

1Open e-HR and click ‘Status’ from the side menu.

2From the ‘Status’ layer, select a status (vacation, business trip, field work, etc.).

3Set the date or time for the status.

4Enter comments in the Comment field.

Status types are predefined by the administrator. To add/remove a status or change the date/time setting conditions, please consult your administrator.

Modifying Arrivals/Leaves

Users can modify the time of arrivals/leaves or leave status after it is registered.

Changing ‘Unidentified’ Status

If a user fails to click Arrival or Leave, the status will be shown as ‘Unidentified’. Users with the modification permission can manually enter the time for the ‘Unidentified’ status.

  1. Click an ‘Unidentified’ item.

  2. When a layer appears, specify the time (hour : minute : second).

  3. Click OK to save changes, and check that the time appears as you specified.

Modifying Arrival/Leave Time

If a user forgot to click the Arrival button and thus is registered as late even though he/she had arrived earlier, or if a user inadvertently clicks ‘Leave’ too early, the user can later modify the time for the arrival or leave.

Modify to All-night Work

You can leave work after midnight. For this, you must check All-night in order to record the work and total working hours. If you have not checked All-night, request modification to admin.

Click leaving work field of a date concerned for a user for whom information needs to be entered or modified. Then, a layer for entering the time of leaving work is displayed. Together with time of leaving work settings, night overtime is recorded if All-night is checked.

Modifying Status

Has your business trip or field work schedule been changed? Users can modify a leave status you registered before.Click a status you registered under Arrival/Leave Status, and a layer appears. You can simply change the status or time.
You can see the modification histories under Modification History on the bottom of ‘Personal Arrival/Leave’.

The permission to modify the arrival/leave time is assigned by an administrator, which can be granted to individuals, head of department (or the deputy manager), or administrators.

My Arrivals/Leaves

You can see an overview of your arrival and leave status in the e-HR main page.
Under My Arrivals/Leaves, you can see all the daily history of your arrivals, leaves and status by months at a glance.

You can also check your history of previous months by moving the month backward or forward.
Late arrivals are displayed in red. If the time has been modified, it is displayed in sky blue. Using these indicators, you can see all the arrival/leave histories for each month at a glance, which help you learn from the history what you should do to better manage your time.

Checking Modification History

To prevent the integrity of time records, times are shown in sky blue once they have been modified. ‘Modification History’ below ‘My Arrival/Leave’ shows details on the modification (who, when, why,
how, etc.).

A modification history is generated when a time first modified after registered and shows who modified which information on which date and time.

Change history may not be displayed according to the settings made by admin in Site Admin.

Staff Attendance State

From the records on arrivals and leaves of a team, a manager can calculate the total daily workload of his/her team. 
Is there a team member suffering from overwork?
With DaouOffice, team leaders can monitor arrival/leave records and leave status of all their team members and thus understand easily who is working on which work on a daily basis and whether there is anyone suffering from overwork. Based on the monitoring results, team leaders can adjust and manage workloads of the team members.

In order for a team leader to view the arrival/leave and leave status of their team members, the administrator should grant the Access permission to the team leader in advance.

Arrival/Leave Status of Team Members

Team leaders (or the deputies) with the Access permission can view the arrival/leave statuses and statistics of their team members on the side menu in an e-HR page.

1You can check today’s arrival/leave statuses of all your team members. Using the ‘Previous’ and ‘Next’ buttons, you can move from one date to another.

2You can see Arrival / Leave / IP Address / Worked / Status records of all your team members.

3Click the icon next to the each member’s name, and you can view the monthly arrival/leave history of the member in a popup.

4If GPS record use is permitted through admin setting, the coordinates of commuting locations of department staffs can be checked via desktop web version if staffs check start/finish work using mobile devices.

5You can sort the records by fields in ascending or descending order.

6The list shows all records of 30 to 500 members in a page.

7Click ‘Download List’ to save the list on the screen as an Excel file. These Excel files can be used for further analyses.

  2. Select a status type from the ‘Status’ layer.

  3. Status types can be registered in either the date or time as predefined by the administrator.

  4. Date: Click the entry and a calendar appears. Select the date from the calendar.

  5. Time: Specify the time (hour: minute).

  6. Click OK to register the status or save changes.

Times are displayed in sky blue if it was modified after first registered.

Team leaders (or the deputies) authorized to modify (which is granted by administrator) can modify the ‘Unidentified’ status by specifying the time.

Modification is allowed for Arrival / Leave / Status, and the details (date and time it was modified, user who modified) can be viewed in the Modification History on the bottom of the user’s Arrival/Leave status page.

Statistics of Team Arrival/Leave

Overall statistics is provided so that team leaders can view the arrival/leave status over a certain period of time at a glance. Using Download Details, you can export the details of the statistics as an Excel file by users (team members) or dates.

Using this statistics, team leaders easily monitor the working hours and arrival/leave status, so that they can manage their team and workloads.

2Select a status type from the ones predefined by the administrator.

5Click ‘Download Details’ to save the detail data (consisting of arrival/leave histories by dates) as an Excel file.

Average time for arrival, leave and working hours for the period you specified will be generated as well, which can support time management efforts.

For accurate calculation, arrival/leave data is collected for a day and committed to the system on the very beginning of the next day.

Managing Arrivals/Leaves of All Employees

From the records on arrivals and leaves of all employees, a manager can understand the general diligence status of the company and calculate the enterprise-wide daily workload. Is your organization culture or system being threatened? Or are there any employees suffering from relatively heavy workload?

With DaouOffice, managers can monitor arrival/leave records and leave status of all employees and easily figure out employees suffering from heavy workload. Based on the monitoring results, managers can adjust and manage workloads and hours efficiently for individual employees.

To view the arrival/leave and leave status of all the employees on the relevant service pages, a user must be designated as an Arrival/Leave Administrator by the system administrator.

Arrival/Leave Status of All Employees

Once designated as an Arrival/Leave Administrator, the user can view the arrival/leave status and the statistics of all employees on the side menu in the e-HR page.

Mobile App Attendance Check

Install mobile app to check mobile attendance in Today menu. Mobile app attendance check function is displayed according to admin settings.
Mobile app provides a function to check employees’ coming to work and leaving work only. Use desktop version or mobile version for status registration
and attendance state.

Status registration and attendance state check functions will also be provided in mobile app.

GPS

When using mobile app commuting function, you can set to use GSP
with which to record location information. 

This function is set by admin. Therefore, if the admin has set to use
this function, commuting check menu is activated only when
location service function is turned on in mobile device.

If you allow location service use and check commuting, the GPS
coordinates are displayed in Desktop/ Mobile version> Attendance State.

Map service requires a separate licensing contract. Therefore, according to internal policy, only the coordinates for GPS use are displayed by default. Should you need any additional/improved functions, contact internal admin and Technical Support Team of Daou Office.

17.2Annual Leave Status

For annual leave status, the company’s documents on leave/annual leave are used through a system link with electronic authorization menu. 
When the document is submitted for approval, information on total number of days of annual leave/number of days of annual leave used/number of days of annual leave remaining can be checked. 
Employees can conveniently manage the status of half-day leave, annual leave information and unpaid leave by themselves. The information is also provided for management by department/ company-wide.

Annual Leave Status function is displayed only when the site admin has set to “Use” the function.

For annual leave function, the status is displayed through a link with electronic approval menu. The annual leave systems and compositions are different by company. Therefore, the use of annual leave function incurs additional development cost for system linkage. If you wish to use annual leave function, contact internal admin and Technical Support Team of Daou Office.

My Annual Leave Status

In relation to the annual leave set by admin, My Annual Leave Status page is provided so that individual users can check the information and details of their annual leave status. 
Enter through eHR menu to check your annual leave status in the side menu on the left.
  1. Annual leave information set by the admin in advance is displayed in a yearly unit.

    1. Total Annual Leave: Number of days of leave available for use per year

    2. Annual Leave Used: Number of days of leave used per year

    3. Additional Annual Leave: Number of days for annual leave randomly used by admin in addition to total number of days of annual leave

    4. Remaining Annual Leave: Number of days of leave available for use

  2. Batch viewing of annual leave status is possible by using electronic approval function.

The number of annual leaves is deducted when electronic approval is completed. If approval is canceled or rejected, the deducted number of annual leaves is restored.

Department’s Annual Leave Status

In order to check if team members are flexibly using the annual leaves given, department annual leave status information is provided so that the team manager can check the details of annual leave used by team members each month.

Department’s Annual Leave Status is displayed only when the annual status admin has set the information as “Public.”

Annual Leave of All Employees

Default Settings for Company’s Annual Leave Management

The designated admin can set annual leave information for all employees each year and also the annual leave for new employees.

The company’s annual leave status admin is set by the admin in Site Admin.

  2. In company’s annual leave status management page, set the form downloaded using download form menu.

    1. Year: Enterthe year for annual leave application.

    2. ID(Account): Enter account ID to which the set annual leave is applied.

    3. Date Joined: For management, enter the date of joining company for the account.

    4. Total Number of Days of Annual Leave/Adjusted Annual Leave/Annual Leave Used: Enter annual leave information according to the purpose by account (new/ update).

  3. The set form is registered through annual leave status file registration.

Company’s Annual Leave Management

The forms registered through default settings in company’s annual leave status management are listed in Annual Leave Management page.
  1. Open annual leave management page to check annual leave details of all employees set by the admin.

  2. On this page, annual leave can be added or reduced for specific employees.

    1. After selecting an account, click Add Selection (Multiple selections possible).

    2. In add annual leave layer, select add or reduce, enter the number of days of annual leave from a min. of 0.5 days and click OK. You will find that the annual leave is added/reduced in the selected account.

  3. Add All function is used to add or reduce annual leave for all employees regardless of account selection.

Run a search based on the date joined by using search function below. In case of new employees, one day can be added in a batch one month after their employment.

Company’s Annual Leave Status

The designated admin can check not only the annual leave settings for all employees, but also the details of annual leave usage by employees each month.

  1. The details of annual leave of all employees can be checked by period. Check the details of annual leave usage by month using left and right buttons.

  2. As for the details of annual leave processed through electronic approval, name/department/period of annual leave usage/number of days of annual leave used/type of annual leave used information is also provided.

  3. You can search information by the period of annual leave usage. The information of all annual leaves is searched as long as the annual leave includes at least one day of the search period.

17.3Personnel Information

Personnel Information function is displayed only when the site admin has set to “Use” the function.

My Personnel Information

Users with HR Info authorization (granted by HR Admin) can view their own HR information whenever required.

Click ‘My Personnel Information’, then a page will appear with the following fields.

1Account Info Area: This area displays the account information and is managed the by site administrator, not by general users or HR administrators.

2HR Info Area: This area displays the HR information and is managed by HR administrators. Depending on the authorization, users may directly edit this information. When clicked, the ‘unfold’ button () on the right will show the full HR information on a page. Depending on administrator settings, some items may not appear.

3Change History Area: This area shows the history of all changes made by the HR administrators. Any changes made by users with the relevant authorization are also included in the change history.

Registering/Modifying My Personnel Information

For users to register or modify their HR information, the administrator must ‘allow’ their access to the HR information. If you need to access your HR information, please consult your HR administrator.

HR information cannot be registered or modified while the list is unfolded ().

Users with HR Info Modification authorization (granted by HR administrators) can directly modify or register their HR information.

  1. Click the e-HR tab and ‘My Personnel Information’.

  2. Change the HR information as necessarily.

    • Drop Box: Click and select an item from the list.

    • Date: Click the date area () and select a date from the calendar.

    • Text: Click the entry to input or modify texts. If the entry has no input, then click the area and an entry will appear where you can input texts. Even when the entry has an input, click the area to modify the texts.

  3. Click ‘Save’ on the bottom of the page.

If you leave this page without clicking ‘Save’ after modification, then the changes you made will not be applied. Please make sure to click ‘Save’ before leaving the page after modification, so that the changes you made can be applied properly.

Information items classified as ‘non-disclosure’ items cannot be modified by users even with the HR Info Modification authorization. To modify non-disclosure items, please consult your HR administrator.

HR Information of My Team

Team leaders with the Department HR Info authorization (granted by HR administrators) can view HR information of all members of their team.

For team leaders to view the HR information of their team members, HR administrators must allow them to access the HR information of the team members. If you need to view HR information of your team members, please consult your HR administrators.

Team leaders can only view HR information of their team members. They cannot register or modify the HR information of their team members.

  1. Click the ‘e-HR’ tab and ‘Dept. HR Info’.

  2. A list of team members appears. Select a target member from the list to view his/her HR information. You can also use the ‘Search’ option below the list to search users.

  3. View the HR information of the team member you selected above.

HR Information of All Employees

HR administrators can view or register HR information of any employees.

Only HR administrators can access and view the HR information of all employees.

  1. Click the ‘e-HR’ tab, ‘Company e-HR’ and ‘Company HR Info’.

  2. A list of employees appears. Select a target employee from the list to view his/her HR information. You can also use the ‘Search’ option below the list to search for users.

  3. View the HR information of the employee you selected above.

Registering/Modifying HR Information

  1. \Click the ‘e-HR’ tab, ‘Company e-HR’ and ‘Company HR Info’.

  2. \A list of employees appears. Select a target employee from the list to modify.

  3. \Modify the information as necessarily.

    • Drop Box: Click and select an item from the list.

    • Date: Click the date area () and select a date from the calendar.

    • Text: Click the entry to input or modify texts. If the entry has no input, click the area and an entry will appear where you can input texts. Even when the entry has an input, click the area to modify texts.

Setting Company HR Information

Authorization to set the Company HR Information is only granted to HR administrators.

HR administrators can configure settings to access and manage company-wide HR information using this menu.

Click the Setting button () on the right to the [Company HR Info.] tab to move to the setting page.

Modifying My Personnel Information

You can set authorizations in this menu that allow or disallow users to register and modify their own HR information. If you ‘Allow’ this authorization, users can register and modify their own HR information and the HR administrator can do the same for every user.

Team Leader Access to HR Info

Using this menu, you can allow team leaders to access all of their team members. If you ‘Allow’ this authorization, the team leader can access the HR information of all his/her team members.

However, team leaders, even with this authorization, cannot register nor modify the HR information of their team members.

Batch Registration

If you have a large number of users, then you can register the HR information of them through a convenient batch process. You can download and fill out a given data form, and then upload the file to the system. The HR information contained in the file will be automatically registered and will be shown under the Company HR Info.

Managing HR Info Items

In this menu, you can manage items to display. If you select an item, then the relevant menu will be displayed, otherwise it will not if you unselect. To select/unselect all items, please use the checkbox right to the field title “Information Category”.

Information items classified as ‘non-disclosure’ items cannot be modified by users even with the HR Info Modification authorization.
