In calendar, you can check not only your schedule but also the schedule of the user added to interested calendar as well as the Company Event. The registered schedules can be checked daily, weekly and monthly basis to manage them efficiently. The schedules can be set for notifications so that the users will be reminded of the schedule.
The calendar screen is organized as follows,

1Calendar home button–The button fixed on the upper left corner allows the user to move to the calendar home page (monthly schedule) from any screen.
2 Interested calendar– The schedules of team members, close colleagues or collaborating colleagues can be added into the interested calendar so that you can check their schedules with yours.
3 Schedule list – The schedules in the calendar are list. Click the arrow ( ) to display all selected calendars.
4 Daily/weekly/monthly/list tab–You can select the schedule search method.
5 Calendar icon/Today button–To move to a specific date while you are checking the schedules by navigating between dates in the calendar, click the Calendar icon ( ) and select a date. To move to today, click Today.
6 Search window – You can search the schedules using a search word.
5.1My Calendar Management
In addition to the basic calendar provided by the system, a user can add a calendar to categorize the schedules by characteristics or nature.
Adding Calendar
A calendar can be added in the following way.
Click Add my calendar at the bottom of My Calendar.
In the Add My calendar screen, enter the calendar name in 1~32 characters.
Click OK.
The open option of an added calendar is set to ‘Open after acceptance’ by default. The calendar name or open option can be changed in Calendar Settings.
Deleting Calendar
A calendar can be deleted. The basic calendar cannot be deleted.
Click the Edit icon (
) next to My Calendar. The screen is switched to edit mode.
Click the Delete icon (X) next to the calendar to be deleted.
Click the Edit completion icon (
).
It should be noted that all schedules in the calendar are also deleted and cannot be restored when a calendar is deleted.
To delete a basic calendar, move to the Calendar Settings first and then change the basic calendar.
Changing Calendar Name
You can change the name of a calendar in the following way.
Click the Edit icon (
) next to My Calendar. The screen is switched to edit mode.
Click the name of the calendar to change the name and enter the new name.
Click the Edit completion icon (
).
Changing Calendar Order
If there are multiple calendars, the most frequently used calendar can be placed at the top or the order of calendars can be changed.
Click the Edit icon (
) next to My Calendar. The screen is switched to edit mode.
Change the calendar order with drag & drop.

5.2Schedule Registration
A schedule can be registered as a timed schedule, daylong schedule or repeated schedule. Alarm can be set when a schedule is registered.
A schedule can be added to a calendar in one of following two ways:
Click Schedule registration at the upper left corner of the calendar.
Click an empty space on a date in the calendar.
Enter the schedule data in the Schedule registration screen.

Click an empty space on the day to display a popup window to simply register the schedule as described below.
Enter the schedule name and click OK to register the schedule.

Click the Schedule registration in the menu left to the calendar or click ‘Detailed schedule input’ to move to the detailed schedule input page shown below. You can set the schedule data in the schedule registration screen

1Schedule name–Enter the title to identify the schedule. The schedule name is displayed on the calendar.
2 Private– If Private is checked, the schedule is visible only to the users included in the schedule. Other users can check only the time of this schedule.
3 Date and time– The date and time of the schedule are specified. If the schedule is for the whole day, click Daylong. A daylong schedule is a schedule without time limit, a schedule that lasts whole day such as education, moving or vacation, or a schedule that lasts for several days.
4 My Calendar– If there are multiple calendars, you can select a calendar to register the schedule. The system provides My Calendar by default, and users can add a calendar as needed.
5Attendants– Select the attendants. Click +Select attendant to select an attendant from the Organization Tree. You can click a department name in the Organization Tree to add all users in the department at once. To add a user who is not in the Organization Tree, click ‘Outside user’, enter the e-mail address and click Add. When an e-mail address is input, the address is searched in the recently sent e-mails, the schedule creators Personal Contactss and Public Contactss to find and automatically display the outside user.
6 Location– Enter the location of the schedule.
7 Content– Enter the details of the schedule.
8 Alarm– Set the alarm if you want to receive the alarm of this schedule. Up to 5 alarms can be set.
9 Reserve–The properties to be reserved are displayed. You can reserve the needed properties when registering the schedule.
Click OK when the schedule setting is completed.
When a schedule is registered, a notice is e-mailed to all attendants except the schedule creator.
Registering Repeated Schedule
A schedule repeated every day, every week, every month, every year or on a specific day can be registered as a repeated schedule so that it does not have to be registered each time.
A repeated schedule can be registered in the following way.
Click Schedule registration in the left sidebar or click an empty space on the calendar.
Enter the schedule name, location, etc. in the schedule registration screen and click Repeat.
Click Daily, Weekly, Monthly or Yearly tab to set the repetition and click OK.
Click OK in the schedule registration screen.

Adding Attendant
The function is used to add a user to attend to the schedule. When an attendant is added, the schedule is shown in the calendar of the attendant. If the alarm is set, an alarm is e-mailed to all attendants.
An attendant can be added only using the Organization Tree. You can use the Organization Tree only with the access privilege.
Contact the site administrator if you cannot use Organization Tree.
Click Schedule registration in the left sidebar or click an empty space on the calendar.
Click +Select attendant to select an attendant from the Organization Tree in the schedule registration screen. The Organization Tree is displayed in the right hand side. Click a user or department to attendant from the Organization Tree. If a department is clicked, you can select whether only the members of the selected department will attend or whether all members of even the lower level departments will attend. To add a user not in the organization, enter the e-mail address in Outside attendant and click Add.
Click OK. If there are attendants in the registered schedule, a notice e-mail confirmation message is displayed. Click Send to send the e-mail to all attendants.
Setting Alarm
When an alarm is set, the user can receive the alarm before the schedule. Up to 5 alarms can be set, and the alarm is sent to all attendants.
Click Schedule registration in the left sidebar or click an empty space on the calendar.
Click +Add alarm in the schedule registration screen. Set the e-mail to be sent minutes, hours or days before the scheduled event.
Click OK.
Reserving Properties
You can reserve the properties needed for the scheduled event when registering a schedule. The properties are reserved in the following way.
Click Schedule registration in the left sidebar or click an empty space on the calendar.
Click the arrow (
) of the asset in the asset list next to Reserve in the schedule registration screen.
Click the reservation of an item to reserve in the asset list.
Enter the information and click OK.
Click OK in the schedule registration screen.
When adding an asset, only the assets interconnected with the calendar are displayed. If you have question or request of the assets not displayed when registering a calendar schedule, contact the system administrator.
A daylong schedule or repeated schedule cannot reserve the asset.
An asset can be reserved in [Reserve] also.
Editing Schedule
To edit a schedule, click the schedule to change in the calendar. Edit the items such as the title, date, time, attendants, etc. in the Schedule detail screen and click OK.
When a schedule having the reserved asset is modified, the asset reservation is automatically canceled.
Schedule Data Change
If only the schedule data is changed with the title, time and attends remaining the same, the schedule can be dragged and dropped to another date.

Deleting Schedule
To delete a schedule, click Schedule to delete in the calendar. Click Deleting schedule in the Schedule detail screen.

Deleting schedule is not displayed if the schedule is not registered by the user.
You can be excluded from the attendants if you are designated as one of attendants even if you did not register the schedule. Refer to Being Excluded from Attendantsfor more details.
Being Excluded from Attendants
Another user can designate you as one of attendants when registering a schedule. If you do not want to attend the scheduled event or have a schedule change, you may be excluded from the attendants.
Click the title of the schedule in which you are registered as one of the attendants and click Being excluded from attendants in the schedule detail screen
5.3Schedule Checking
The schedule registered in schedule management can be checked by daily, weekly and monthly lists.

Click the Daily, Weekly, Monthly or List tab. Place the mouse over a registered schedule to display the main content of the schedule (time and attendants) in dialog balloon.
Click Schedule to check the detailed schedule.
The time is displayed in front of the title of the schedule with specified time. The title is displayed in a different color if the schedule has the time. The daylong schedule has the background color. A daylong schedule is a schedule without time limit, a schedule that lasts whole day such as education, moving or vacation, or a schedule that lasts for several days.
A private schedule has the Lock icon (
) icon in front of the title. A private schedule is open only to the attendants regardless of the open option of the calendar. Other users can only check the time of the schedule.
Click the empty space in the schedule table to add a schedule.
Click the Date change icon (
,
) at the top of the screen to move to the previous or next date (weekly or monthly).
Click the Calendar icon (
) and select a date to move to a specific date.
Click Today to move to today’s date.
To check the schedules in the interested calendar and Company Event, check the calendar to check and Company Event.

Click a tag to designate My Schedule, Interested calendar schedule and Company Event to be displayed in different colors.

Comment
You can express your impression or opinion of the schedule in a comment. All users including not only the attendants of the scheduled event but also all user who can see the schedule can leave a comment.
The Comment and Change history can be displayed at the right side of the screen or bottom of the schedule according to the resolution of user screen.
Click the schedule to add the comment. Move to the Schedule details screen.
Click Comment tab, write the comment, and click Write comment
A comment can be edited or deleted only by the user who created the comment. When a comment is edited, the notice e-mail is not sent.
Change History View
Both the user who registered the schedule and the attendants can edit the schedule. Since multiple users can edit the schedule, you can check which user changed which in the change history view function.
The Reply and Change history can be displayed at the right side of the screen or bottom of the schedule according to the resolution of user screen.
Click the schedule to be checked of change history. Move to the schedule detail screen.
Click Change history next to Comment.
The history of title changes content changes comment registrations etc. is displayed in chronological order.
You cannot check the Change history in a mobile app.
5.4Checking of Another User’s Schedule with Organization Tree
You can check the schedule of your colleagues using the Organization Tree. Checking of a colleague’s schedule using the Organization Tree is described as follows.
Click the Organization Tree.
Click a user whose schedule is to be checked.
Click View schedule in the popup menu.

The calendars which were set to be open after acceptance are not displayed. If a calendar is set to be open after acceptance, you can check the schedule only after the schedule is added into the interested calendars.

5.5Interest Calendar Management
You can add the schedule of collaborating colleagues and the members of the same department and/or team in the interested calendar. Adding the schedule of a user in the interested calendar is beneficial in that you can check the user’s schedule with yours in the calendar at the same time.
The interested calendar is displayed on the left side of the screen. Check a schedule in the interested calendar to display the schedule on your calendar immediately.

Adding Interested Calendar
Depending on user setting, a calendar can be added to the interested calendars or requested to be added to the interested calendar.
A calendar can be added to the interested calendar only with the Organization Tree. You will need the privilege to access the Organization Tree to use it.
Contact the site administrator if you cannot use the Organization Tree.
You can set the open option in calendar management. An open calendar can be added immediately to an interested calendar. A calendar set to open after acceptance can be added only after the request and approval procedure.

A calendar can be added to the interested calendar in the following way.

Search the user whose calendar is to be added from the Organization Tree.
Click View schedule in the user’s profile page
Click the Star icon (
) of the schedule to be added to the interested calendar from the schedule list.
Confirm that the schedule is added to the interested calendar
The calendars of multiple users can be added to the interested calendar using the interested calendar addition in the calendar menu.
Click the Interested calendar addition in the left menu of the calendar.
Select a user to add to the interested calendar from the Organization Tree.
If the open option of the user’s calendar is set to Open, the user’s calendar is immediately added to the interested calendar.

If the calendar open option is set to Open after acceptance, Request waiting is displayed. The calendar is added to the interested calendar when the owner of the calendar accepts the request.

Up to 100 calendars can be added to the interested calendar.
A notice is sent to the owner of the calendar when a calendar is added to the interested calendar.
Deleting Interested Calendar
An interested calendar can be deleted in two ways. Deleting it from the left sidebar is described as follows.
Click the Edit icon (
)next to the interested calendar.
Click the Delete icon ( X ) next to the schedule to be deleted in the edit mode.
Click the Confirmation icon (
) after the deleting is completed.
It can also be deleted from Calendar Settings. Deleting it from Calendar Settings is described as follow.
Click Calendar Settings below the left menu of the calendar.
Click the Interested calendar tab.
Check all interested calendars to delete.
Click Delete at the top of the list
A notice is not sent to the owner of the calendar when an interested calendar is deleted.
Canceling Interested Calendar Addition
You can cancel the registration of an interested calendar before the owner of the calendar accepts the request.
If the open option of a calendar is set to Open, it is added to the interested calendar immediately without the request – accept procedure. An added interested calendar can be deleted.
Click the Edit icon (
) next to the interested calendar.
Click Cancel request in the edit mode.
Click the Confirmation icon (
).
Accepting Request for Interested Calendar
You can accept the request to add your calendar to be included to another user’s interested calendar. The request – acceptance procedure is performed only when the Open option of your calendar is set to Open after acceptance.
Refer to 5.6 Calendar Settings for more details of setting the open option of a calendar.
The request for adding the interested calendar can be accepted in the following way.
Click Calendar Settings below the left menu of the calendar.
Click the Interested calendar tab.
Click Colleagues interested in my schedule.
Check the details of the request for interested calendar and check the users to be accepted.
Click Accept at the top of the list.
If you click Delete instead of Accept, the request will be deleted.
Checking Users Interested in My Schedule
You can check the users who added your calendar to their interested calendar to check your schedule.
Move to the Calendar Settings and select the Interested calendar tab. Select the Colleagues interested in my schedule.
The interested calendar addition request details are displayed here. You can accept it when there is a request to add your calendar to be added to another user’s interested calendar.

5.6Calendar Settings
You can add or delete My Calendar or check and delete the interested calendar in Calendar Settings. This section describes how to manage My Calendar.
The interested calendar addition request details are displayed here. You can accept it when there is a request to add your calendar to be added to another user’s interested calendar.
Refer to 5.5 Interest Calendar Managementfor more details of how to accept the request for addition to interested calendar.
You can also add or delete the My Calendars by clicking the Edit icon ( ) next to the calendar in the left menu.
Adding Calendar
A calendar can be added in the Calendar Settings in the following way.
Click Calendar Settings under the left menu.
Add the calendar name of 1 character or more and 32 characters or less in the input window next to the Calendar name and click Add.
Deleting Calendar
This function deletes a calendar. The basic calendar cannot be deleted.
Click Calendar Settings under the left menu.
Select all calendars to be deleted in the calendar list and click Delete at the top of the list.
It should be noted that all schedules in the calendar are also deleted and cannot be restored when a calendar is deleted.

Click Save under the calendar list.
Changing Order of Calendars
If there are multiple calendars, the most frequently used calendar can be placed at the top or the order of calendars can be changed.
Click Calendar Settings under the left menu.
Click Change order above the calendar list. The mouse cursor is changed to the Arrow icon (
).
Drag the calendar to the needed position.
When the order is changed click Change order completed.
Setting Calendar to Open
It sets the open option of a calendar.
Click Calendar Settings at the bottom of left menu.
Click Open status at the right edge of the calendar. Select one of the following in the Open status list.
Open – Anyone can see your schedule and add your calendar to the interested calendar without the request – accept procedure.
Open after acceptance – A user can see your schedule only after the request – accept procedure.
Private – Another user cannot see the schedule in your calendar or your calendar.
Click OK at the bottom of the calendar list.
A private schedule is open only to the attendants regardless of the open option of the calendar.

Basic Calendar Setting
Each user is provided a basic calendar, and the basic calendar cannot be deleted. When another user includes you as an attendant in a schedule, the schedule is registered in your basic calendar.
The calendar automatically created by the system is set to the basic calendar by default. If you add a calendar, the basic calendar can be changed.
Click Calendar Settings at the bottom of left menu.
Click Radio button (
) of the calendar to be specified as the basic calendar in the calendar list.
Click Save at the bottom of the calendar list.
5.7Schedule Search
A search is divided by the basic search using only the search word in the search window at the top of the calendar screen and detailed search which uses both conditions and search words.
The special characters are not searched since they are not indexed. When numbers and characters are separated by a space, each word must be complete. For example, to search for ‘Apple’, the complete word must be entered. Inputs of ‘App’ or ‘ple’ will not search the word Apple.

Basic Search
If a search word is contained in My Schedule, schedule in the interested calendar, Company Event, attendants, location or details, the items matching the search word are displayed in the result. The benefit of the basic search is that you do not have to specify the detailed conditions.
You can use the basic search in the following way.
Enter the search word in the search window at the upper right corner of the calendar screen.
A search word must be 2 characters or more and 64 characters or less.

Detailed Search
You can search schedules using the detailed search conditions such as the schedule name, attendant, period, etc. The detailed search is described as follows.
Click the Arrow (
) next to the basic search window.
Enter and specify each item in the detailed search popup window.

The detailed search has the benefit of being able to specify multiple search conditions.
5.8Company Event Registration
The Company Event is open to all users, and only the company-wide calendar operator has the privilege to register the Company Event.
To register the Company Event, check Company Event in the schedule registration screen. Refer to 5.2 Schedule Registration for more details
