22.Using App

DaouOffice provides the mobile app to be used in iOS and Android based mobile devices. Using the app, the users can check the e-mails or chat with colleagues even when they are moving. Moreover, the user can check the articles posted in the Board and community as well as the schedule in the calendar.

It should be noted that this manual uses the screen capture of iPhone version. The images and menus will basically be the same in the Android based devices, but the menu name and icon may differ slightly.

22.1App Screen Layout

The app screen is organized as follows.

1Today – A page that appears first when you login. The page shows a summary of unread email messages and recent posts. Main page– It displays the detailed information of the menus such as E-mail, Contacts, Community, etc.

2 Menu bar – The frequently access menus are displayed in a bar.

A number or ‘N’ may be displayed above each menu in the app home page. The number or ‘N’ means different things as follows.

The number of ‘N’ is not displayed there is no e-mail, schedule, survey, etc.

When notification screen is opened, count is initialized regardless of the notification read status. Although notification count is initialized, notification read/not read are separately displayed. In case of email, it is not piled up in the notification list and only a push notification is issued.

22.2E-mail

You can read or send the e-mail easily with a DaouOffice app.

Reading E-mail

To check an e-mail,

  1. Tap E-mail in the mobile app menu.

  2. You will navigate to Received e-mail box. If there is a new e-mail, tap the e-mail title and check the content.

  3. To navigate to the Sent e-mail box or Personal e-mail box, tap the E-mail box icon ( ) at the upper left

    corner of the screen. When the e-mail box is displayed in the left, tap an e-mail box to navigate to the

    selected e-mail box.

If the value added license (Preview) is registered, the files with the extension of .doc,.docs,.ppt,.pptx,

.xls,.xlsx,.hwp,.pdf,.txt, .gif, .png, .tif, or .jpg and be previewed without being downloaded.

Click the button as shown below in case the font of email is too small, and thus it is difficult to read the email. A new window opens. You can zoom in/out the text using two fingers.

Writing E-mail

You can write an e-mail in the same way as the web.

  1. Tap E-mail in the mobile app home page and tap Write e-mail at the top of the screen.

  2. Specify the recipient in the Write e-mail screen. Tap Contacts to select the recipient from the Contacts.

  3. Enter the title and content of the e-mail.

  4. To attach an image, touch the Picture icon ( ) to attach an image file.

  5. Tap Send to send the e-mail.

22.3Employee Information

The employee information is displayed in the Organization Tree in the DaouOffice web. In the mobile app, the employee information is displayed in the Organization Tree or the list form.

The employee information can be accessed only when using the Organization Tree. You cannot use the Organization Tree function if you do not have the access privilege to the Organization Tree.

Contact the site administrator if you cannot use this function.

Checking Employee Information

Organization Tree Form

When you tap a department name or team name, the lower level departments or department members are displayed. The form is convenient when you are searching for a colleague at a specific department.

To move to the higher level department, swipe the screen to the right.

List Form

The employees are listed in the alphabetical (ascending) order. Click the List form icon ( ) to switch from the Organization Tree form to the list form. To switch it back to the Organization Tree form, click the Organization Tree form icon ( ).

When you check the employee information in the list form, the favorite list is displayed at the top. Click the My Favorite icon ( ) in the employee profile to add an employee in the favorite list.

Detailed Employee Information

You can check the employee profile, make a phone call, send an e-mail or SMS, or chat with a colleague.

To see the detailed profile of an employee, search the employee with Checking Employee Informationor Employee Search

You can check the name, team, mobile phone number, e-mail address and direct phone number of the employee.

The phone call and SMS functions can be used only when the Mobile phone number is registered. Likewise, the e-mail function can be used only when the E-mail address is registered.

If is displayed on the right of department name in profile card, hover mouse over it to check information of higher departments. button is displayed only when there are higher departments.

Employee Search

You can search for an employee using the name, phone number or department.

1Search by name – Enter the name of the colleague. You can use the automatic completion function.

2Search by mobile phone number – You can search for a colleague with a mobile phone number.

3Search by Direct phone number – You can search for a colleague with an internal phone number.

4Search by department–You can search for a colleague with the department name

You cannot search an employee with the higher level department. For example, you must enter ‘Development’ if you are searching for John Doe at the Development Team under the R&D Center. The search will find no one if you enter ‘R&D Center’

22.4Chatting

DaouOffice provides the mobile messenger function like Kakao Talk. Unlike the commercial messenger services such as Kakao Talk, MyPeople and Line, you can chat will any employee registered in the Organization Tree without having to add the user in your Contacts.

It is a useful function when you have to make a simple inquiry to a user or contact a colleague in the office from outside.

As DaouOffice provides the group chatting function in addition to 1:1 chatting, it is useful when a group decision such as a meeting schedule is needed.

The chatting function can be accessed only when using the Organization Tree. You cannot use the Organization Tree function if you do not have the access privilege to the Organization Tree. Contact the site administrator if you cannot use this function

1:1 Chatting

Tap Chatting in the menu bar

  1. Tap Add icon ( + ) at the upper right corner of the chatting list screen.

  2. Search for the user to chat with. You can use the name, mobile phone no., direct phone no. or department name to search for the user.

  3. Check the user to chat with. The user is displayed at the top of the list.

  4. Tap Complete.

Group Chatting

The group chatting is useful when there is a need for group decision or to send a message to a group of people.

To begin group chatting, tap Chatting in the menu bar.

  1. Tap Add icon ( + ) at the upper right corner of the chatting list screen.

  2. Search for the user to chat with. You can use the name, mobile phone no., direct phone no. or department name to search for the user.

  3. Check the user to chat with. The user is displayed at the top of the list.

    Repeat search – addition until all users are added.

  4. Tap Complete when the addition is completed

You can add a chatting member during a chatting. A chatting member is added in the following way.

  1. Tap Chatting list icon ( ) at the top of the screen.

  2. The chatting member list is displayed. Tap Add chatter to add a chatting member.

Checking Group Chatting Members

If there are too many people involved in a group chatting, they cannot all be checked at the top of the screen. Tap the Chatter list icon ( ) at the top of the screen to see a list of all chatting members.

You can make phone call right away by clicking the telephone icon in the chatting member list.

Value Added Function

Tap the See more icon ( ) to display the valued added function button to take a picture or add a chatter. In the 1:1 chatting window, you can tap the Colleague info button to query the profile of the chatting partner.

In addition above icons, the File send icon ( ) is displayed in the mobile device. Click the File send icon ( ) to send a file in the mobile device to another system.

Checking Receipt

You can check if the recipient of a message read the message.

22.5Caller ID Display

When an Android device receives a phone call or message, the caller ID is found from the Organization Tree and displayed on the device. Since the user data are searched even if the user was the registered in the receiver’s Contacts, you can immediately find out who called or sent the message. Moreover, you do not have to search for the caller when you failed to answer the call, and there is no need to register all employees in your Contacts.

Check Display calling employee of phone call or message in the web Settings if you want to use the call ID display function.

This function can be used only in an Android based mobile device.

22.6Settings

If you click ‘Settings’ on the bottom of the menu list, you can see various setting options and the App version information.

The Settings screen consists of following items.

1Access setting–It shows the server address and login account. In an iPhone, UUID is also displayed. The data displayed in access setting cannot be changed.
To initialize the server data, check Initialize server address and top Logout account.

2 Login setting – You can select the automatic login option. When the automatic login is set, you do not have to enter the account data when you log in the app again.

3OTP Authentication – This option issues an OTP and is shown only when the system administrator enables OTP authentication. When this option is enabled, users must go through a normal login (entering ID and password) and enter an OTP to login the App.

4General Settings (Font Size) - You can adjust the font size. You can enlarge font size for Today, Talk and the screens for some menus.

5Display of employee when receiving phone call/message–The item is displayed only in the Android phones. It sets the option of searching for the ID of the caller of a phone call or message from the Organization Tree and displays the data Since the employee data are found from the Organization Tree even when the employee was not registered in the receiver’s Contacts, you will know the caller immediately without having to save all employees in your Contacts.

6Push notice setting – It specifies the push notice option and notice receiving time. If you tap Notice setting for each app, you can set receipt of notice for each menu. This menu is supported only in Android phones.

7Schedule/Contacts synchronization setting–In Android phones, you can set the calendar and Contacts synchronization option and method, In iPhones, the method synchronizing the calendar and Contacts is displayed.

8 Employee data synchronization–When the Organization Tree, it is not reflected in the mobile app in real-time. Tap the Synchronization icon ( ) next to the employee data synchronization to reflect the Organization Tree immediately.

9 Today – Using this option, you can set an order to present items displayed on the Today page.

10Version–The current version is displayed. If a higher version is available, you can upgrade the app by tapping Update next to the version data.

11Account logout–You can log out of an app to log in with another account. It is recommended to terminate an app without logging out unless the logout is needed. If you terminate an app without logging out, you do not need the login procedure again later and receive the push message from the app even when the app is not running.

12Server address initialization – It initializes the server address. The server address is input when the app is run for the very first time, and the information is maintained. If the server address is changed or if you want to log in another server, check Initialize server address and tap Logout account.

If you turn of the push notice, you will not receive the chatting push also. However, since the chatting messages are received, you can check them in the chatting history.

In an Android based mobile device, the calendar and Contacts synchronization can also be set in the Settings menu. When the calendar and Contacts are synchronized, they can match the schedule and Contacts in the web.

22.7Version Update

When an app has a newer version, you are automatically guided to the update page when you log in DaouOffice.

  1. Click OK when the update guide message is displayed. You will navigate to the app download page.

  2. Tap Download app.

  3. Tap Install when an installation message is displayed

If there is an app to update, the Update button is displayed next to the version data of the Settings menu. You can update the app in the Settings.
